Workflow software – from A to Z

In previous post, I mentioned ‘workflow’ and touched on some of its benefits but haven’t provided a specific definition. This post will equip you with all basic information about a workflow solution, from the definition, its components to its main functionalities.
What is workflow?
There are lots of definitions of workflow with different points of view, and opinions. Here is Wikipedia’s definition of workflow:

‘A workflow consists of an orchestrated and repeatable pattern of business activity enabled by the systematic organization of resources into processes that transform materials, provide services, or process information. It can be depicted as a sequence of operations, declared as work of a person or group, an organization of staff, or one or more simple or complex mechanisms’.

How many components does it have?
A modern workflow software application typically has 5 components:

1. Digital Document Routing 
Digital forms and intelligent user interface (UI) are the modern versions of paper forms. Thanks to its versatility, in many cases it’s now used to kick off the whole workflow process.

2. Process or Workflow Engine 
The movement of tasks and information within the organization can run smoothly with the support of the ‘brain’ or engine. It not only plays the role of a “digital mail clerk”, it also helps you notify, deliver and control the entire work process from start to finish as well.

3. Data
The modern organization now has to handle huge volumes of data. This is the foundation layer on which all workflow occurs and stores the information required to facilitate a successful process.

4. Reports
Reporting is the last step when work is being completed. All information about the process must simultaneously be made available in the form of reports.  

5. Process Analysis
Through both visual tools and reporting, you now have all the information you need to analyze your business processes and fine tune them. It is this insight that provides the ability to incrementally improve business processes.
